1. Who we are

KWAHU EAST TEACHERS AND EDUCATIONAL WORKERS WELFARE & CREDIT UNION ("the Union", "we", "us") operates the members' web portal and the KEWCU Android application. We are the data controller for the personal information described below.

2. What this policy covers

It covers the members' portal on this website and the KEWCU Android app. Both are private systems for members and officers of the Union. They are not open to the general public, and we do not sell advertising or sell personal data to anyone, ever.

3. What we collect, and why

Approximate location The town or city, region and network provider worked out from your internet address when you sign in To show you and the officers which devices have used your account and roughly where from, so unfamiliar sign-ins can be spotted, and to understand where the app is being used
Messages and applications Support ticket messages you send us, and the reasons you give on loan and benefit applications To answer your query and to assess your application
Activity in the system Records of your sign-ins and sign-outs, and of changes and payments recorded against your record To keep an audit trail, and to investigate a dispute or a suspected misuse of an account
About location. The app does not use GPS and never asks for location permission. We work out only the approximate town or city from the internet address your device connects with — the same thing any website can see. That address is sent to a location lookup service so it can be turned into a place name; we do not keep map coordinates.
Beneficiary and guarantor details. If you name another person — a next of kin, a beneficiary or a loan guarantor — you are giving us their details. Please tell them you have done so. We use those details only for the purpose you named them for.

4. Permissions the mobile app asks for

Where the app reads text from a document image, that reading happens entirely on your own phone. The image is not sent anywhere for that purpose.

5. Who we share it with

We share only what each recipient needs, and only to run the scheme:

We also disclose information where the law requires it, or where it is necessary to establish or defend a legal claim. We do not sell your data, and we do not use it for advertising.

6. How long we keep it

Membership and financial records are kept for as long as you are a member and afterwards for as long as the Union's constitution and Ghanaian law require records of contributions, loans and exits to be retained. Sign-in and device logs are kept for a much shorter period, only as long as they remain useful for security. When a record is no longer needed it is deleted or anonymised.

7. How we protect it

No system is perfectly secure, but if a breach occurs that puts your rights at risk we will inform you and the Data Protection Commission as the law requires.

8. Your rights

Under the Data Protection Act, 2012 (Act 843) you may ask us to:

Write to info@kedwelfare.com and we will respond within a reasonable period. Some records — for example an outstanding loan — cannot be deleted while the obligation stands. If you are not satisfied with our answer you may complain to the Data Protection Commission of Ghana.

9. Deleting your account

Membership is governed by the Union's constitution, so an account cannot simply be removed on request while dues or a loan are outstanding. To begin an exit, use the exit request in the portal or write to info@kedwelfare.com. Once your obligations are settled and the retention period in section 6 has passed, your personal data is deleted.

10. Children

The system is for employed members of the Union. It is not directed at children and we do not knowingly create accounts for anyone under 18, other than a child's details recorded by a member as a named beneficiary.

11. Changes to this policy

If we change this policy we will update the date at the top of this page, and tell members through the portal or by message where the change is significant.
