1. What this page is for
If you hold an account on the KEWCU members' portal or the KEWCU Android app, you can ask us to
close it and delete your personal data. This page explains how to ask, what is deleted, and what
we are obliged to keep.
2. How to request deletion
Use any one of these. All three reach the same place:
- Email info@kedwelfare.com
from the address on your record, with the subject "Account deletion request", and
include your Staff ID.
- In the app or portal — sign in and open the exit request, which starts the
same process and lets the Union settle anything outstanding first.
- By telephone — 0244 072 123 / 0208 809 700.
We will confirm your request within 7 working days and tell you exactly what will
be deleted and what must be kept.
3. What gets deleted
Once your request is accepted and you have no outstanding obligation to the Union:
- Your sign-in credentials, and your ability to access the portal and app
- Your contact details — mobile, WhatsApp, email, postal and residential address
- Your photographs, including your passport photo and any Ghana Card image
- Your Ghana Card number, SSNIT number and teacher licence number
- Beneficiary, next-of-kin and guarantor contact details you supplied
- Your device records, push-notification tokens and sign-in history
4. What we must keep, and why
Deletion cannot erase a financial history that other people still rely on.
The Union is a welfare and credit scheme, and its books have to reconcile.
- While you still owe the Union — an unpaid loan, arrears of dues, or a
guarantee you have given for another member's loan — the account is closed to access, but the
financial record stays until that obligation is settled. Closing an account does not cancel a
debt, and it does not release a guarantor.
- After settlement, records of contributions, loans, benefits paid and your
exit are retained for the period the Union's constitution and Ghanaian law require records of
this kind to be kept. During that period they are held for accounting and audit only, and are
not used to contact you.
- Where you guaranteed another member, the record of that guarantee remains for
as long as their loan runs, because it is part of their agreement as well as yours.
When the retention period ends, the remaining records are deleted or anonymised so they can no
longer be linked to you.
5. If you only want to stop messages
You do not have to close your account to stop non-essential messages. Email
info@kedwelfare.com and ask to be removed
from announcements, and you will keep your account and your contribution history.
6. Your rights
These arrangements sit alongside your rights under the Data Protection Act, 2012 (Act
843), which are set out in full in our
Privacy Policy. If you are not satisfied with how we
handle your request, you may complain to the Data Protection Commission of Ghana.
